We are committed to making sure that your building is run efficiently and to a high standard. We offer a complete package including budgeting service charges, preparation of accounts, raising service charge invoices, verification and payment of supplier invoices, maintain and reconcile bank accounts, statutory return and arranging and chairing the AGM.
Budgeting
The annual service charge is determined by forecasting annual budgets allowing for all aspects of expenditure including major future works and reserve funds. Budgets are approved by directors and discussed at the AGM for approval where possible. Budgets are closely monitored throughout the year.
Service Charges
Service charges are invoiced in accordance with the terms of the lease and include the statutory terms and conditions of the Landlord & Tenancy Act 1985. Separate invoices are raised for insurance and reserve funds where required.
Client Account
To ensure effective management of income and expenditure we usually open a designated client account in accordance with current banking regulations. If however you would be more comfortable with a directors counter signature or directors authorisation before any payments are made we are happy to work with you.
Income & Expenditure
Details of all income and expenditure are provided to the directors and discussed prior to completing the annual accounts. Once the accounts have been approved by the director’s copies are sent to all leaseholders and discussed at the AGM, full provision of income and expenditure is provided on request.
Contractors
We use a good team of contractors to carry out maintenance and grounds works making sure that high quality services are provided. All contractors are fully insured and regularly monitored to make sure that high standards are maintained. Utility suppliers are regularly checked for competitive rates, ensuring that costs are kept to a minimum. We are happy to continue to work with current contractors if you are happy for us to do so.
Safety Regulations
As part of the service we provide we make sure that the building and common parts meet current safety regulations. Fire Safety Risk assessments are carried out on an annual basis, any recommendations for improvement are advised to Directors and implemented within the permitted timescale. Other relevant risk assessments are carried out in accordance with current regulations. Regular servicing of lifts, door entry systems and fire alarm testing are also carried out.
Section 20 Notices
We will organise all Section 20 consultation procedures which apply to any large expenditure or long term contracts. A Section 20 notice is a three stage consultation process giving all Leaseholders the opportunity to inspect the proposed works and to put forward any recommendations or observations.
AGM
We are happy to organise the AGM and chair the meeting if required, or be in attendance to take minutes. Following the AGM the minutes of the meeting will be distributed to all Leaseholders.
Site Visits
As part of our service we will carry out bi-monthly site inspections to make sure that the communal areas and grounds are maintained to a good standard.
